Duties & Responsibilities
1.Attendance Management
- Manage daily attendance; export data before the 1st of each month. Verify late arrivals, early departures, missing check-ins, leave records (annual/sick/personal), overtime, and time-off in lieu.
•Follow up with staff on attendance exceptions, remind them to complete make-up check-ins, and ensure 100% data accuracy.
•Prepare the Monthly Attendance Summary (actual working days, late deductions, overtime balance, etc.) and submit to Finance for payroll.
- Expense Reimbursement & Admin Procurement
- Review daily expense claims (transportation, meal allowance, office supplies, etc.) and maintain the admin expense ledger.
- Manage petty cash: handle applications, usage registration, and write-offs for courier, bottled water, and ad-hoc purchases.
- Collect internal requests and procure office supplies, staff snacks, and pantry items regularly.
- Daily Administrative Operation
- Office environment & Fixed Assets: Maintain office tidiness; arrange maintenance for air conditioner, printer, network and other facilities; manage fixed assets such as laptops and office desks, support asset distribution and collection for new joiner and resigned employees.
- Reception & Meeting Support: Receive company visitors, prepare meeting arrangements and provide beverage service; organize team building and employee welfare activities.
- General Admin Services: Handle incoming/outgoing express delivery, business card customization, access card & key management, property fee and utility bill payment.
- Ad-hoc Support
- Assist in onboarding & offboarding procedures including workstation arrangement, company email/account activation and deactivation notification.
- Complete ad-hoc administrative tasks, data sorting and external liaison assigned by supervisor.
Qualification & Requirements
- Bachelor’s degree or above; majors in English or Secretarial Studies or Business Administration preferred.
- CET-6 or equivalent; comfortable with daily spoken English and e-mail communication (bilingual interview required).
- Proficient in Outlook, Teams, Excel, PowerPoint.
- Detail-oriented, discreet, service-minded and able to multitask in a fast-paced environment.
