The Berkeley is looking for an Operations & Marketing Coordinator who brings energy, curiosity, and a genuine interest in people. This is an administrative role with varied tasks supporting day-to-day operations, systems/technology, marketing, resident and family experience, and community engagement. You’ will work closely with teams across the organization, help organize and structure our documents and processes, bring ideas to life, and have the opportunity to shape the role as The Berkeley continues to grow.
This position is ideal for someone who enjoys being the person behind the scenes who makes things happen - but who also wants to be visible, build relationships, and contribute ideas.
What You’ll Do
Help the Team Stay Organized & Informed
- Assist the leadership team with tracking and reporting key business performance indicators.
- Create and maintain templates, documents, communications, and resources that support marketing and operations.
- Update operational standards and workflow documents and manage the master files for the controlled documents. Publish updates to appropriate parties as needed.
- Support internal events, employee engagement initiatives, and campaigns that help position The Berkeley as an Employer of Choice.
- Help employees build confidence using social media and other communication tools.
Make Technology Work Better
- Support the administration and effective use of systems such as Salesforce, InTouch, Square, and timekeeping platforms.
- Build and manage Salesforce work-flow processes that help us stay connected with prospective residents and families.
- Be a first point of contact when marketing or operational technology isn’t working as it should - troubleshooting, creating reports, setting up users, and coordinating support when needed.
- Look for opportunities to improve how we use technology and simplify processes.
Connect with Residents, Families & Our Community
- Support General Managers with new resident and family onboarding, including tours, paperwork, and getting families comfortable with our communication and CRM platforms.
- Help create a welcoming and connected experience for residents, families, and prospective residents.
- Organize and participate in community events, networking opportunities, and information sessions.
- Help tell The Berkeley’s story and build our presence within the independent retirement living community.
Bring Our Brand to Life
- Create engaging social media content - including posts, photos, videos, and reels - that showcases our residents, families, team, and community.
- Manage our Facebook and Instagram presence and look for new ways to build engagement.
- Create promotional materials, presentations, posters, brochures, and other communications using tools such as Canva and InDesign.
- Maintain brand standards across our communications and provide guidance to team members when needed.
- Keep our website current with non-technical updates to content, photos, job postings, and other information.

What You’ll Bring
- 5+ years of strong administrative experience with attention to detail, ideally supporting a cross-functional leadership team.
- Experience in one or more support-focused areas such as operations, marketing, HR, sales, or customer service.
- The ability to independently solve problems creatively while recognizing when to bring others into the conversation.
- Comfort learning and using new technology and software.
- Experience with CRM systems like Salesforce, Microsoft Sharepoint, social media platforms, design software like Canva/InDesign, and MSOffice software.
- Strong written and verbal communication skills.
- A willingness to jump in, learn, and help wherever you’re needed.
