Position Summary

The HR Specialist delivers accurate, timely and compliant HR operations across the employee lifecycle. The role manages employee administration, payroll inputs, attendance, benefits support, HR data, compliance documentation and reporting, and leads end-to-end recruitment for non-exempt positions while providing responsive support to employees and managers.

Key Responsibilities

Recruitment

  • Manage end-to-end recruitment for non-exempt positions, from manpower request and sourcing through selection, offer and onboarding.
  • Partner with hiring managers to confirm job requirements, recruitment timelines and selection criteria.
  • Coordinate job postings, candidate screening, interviews, assessments, pre-employment checks and offer documentation.
  • Build candidate pipelines to support production ramp-up, volume hiring and replacement needs.
  • Maintain accurate recruitment records and provide regular updates on vacancies, hiring progress and recruitment outcomes.

Employee Lifecycle & HR Administration

  • Prepare employment contracts and process probation, confirmation, transfer and other employment changes.
  • Maintain accurate employee records and personnel files.
  • Coordinate onboarding and offboarding activities.

Compliance & Documentation

  • Maintain complete and compliant labor and employment documentation.
  • Support statutory reporting, labor inspections and internal or external audits.
  • Conduct routine checks and follow up on documentation or data gaps.

Employee Service & HR Coordination

  • Respond to employee and manager inquiries on HR processes, policies and benefits.
  • Coordinate employee programs, activities and routine HR communications.
  • Provide reliable and timely HR service to support a positive employee experience.

HR Systems Administration

  • Maintain accurate employee data in the HR information system.
  • Prepare recurring HR reports, dashboards and workforce metrics.
  • Coordinate training schedules and maintain mandatory training and certification records.

Payroll, Time & Benefits Support

  • Validate payroll inputs and employee changes in coordination with the payroll team or vendor.
  • Maintain attendance, leave, overtime and shift records.
  • Support employee benefits and social insurance administration.

Qualifications & Experience

  • Bachelor's degree in Human Resources, Business Administration, Accounting, Law or a related field.
  • Minimum 5 years of HR operations, HR administration experience.
  • Experience using HR information systems and preparing HR reports.
  • Manufacturing, electronics, semiconductor or industrial experience is preferred.
  • Experience in high-volume or direct-labor recruitment for non-exempt positions is preferred.
  • Working knowledge of Vietnam labor law, payroll processes, social insurance and employee records requirements.
  • Good written and spoken Vietnamese and English.
